I prefer sitting with your team when practical. Within a practical driving distance, there is normally no added travel cost. Farther away, a reasonably priced hotel may be requested if an overnight stay is needed.

What is NPO Exhale?

NPO Exhale is hands-on AI implementation and training for nonprofits. We identify repetitive work, build practical workflows around your actual responsibilities, train the people who will use them, and measure the time and operating capacity returned.

Is this a class, consulting engagement, or implementation project?

It is a combination of all three, with implementation at the center. Your team learns the skills while we apply them to real work and leave you with documented workflows you can keep using.

Who is this for?

NPO Exhale is designed for nonprofit Executive Directors, leadership directors, department leaders, and teams losing too much time to recurring administrative, reporting, fundraising, communications, or knowledge work.

Do we need AI experience?

No. The 1-Week Upgrade works well for leaders who are early in AI adoption. The longer plans also work for organizations that have experimented with AI but need better systems, consistency, and accountability.

What if our staff is skeptical or nervous about AI?

That is normal. I do not ask staff to trust AI blindly or use it for everything. We focus on practical tasks, responsible boundaries, verification, and small wins that let the team judge the value for itself.

Will AI replace our staff?

That is not the goal. NPO Exhale reduces avoidable work so staff can spend more time on judgment, relationships, leadership, fundraising, and services that require people.

Which plan do you recommend for most organizations?

The 90-Day AI Leadership Upgrade is the strongest starting point for most established nonprofits. It spreads the skill beyond the Executive Director, supports adoption while real questions emerge, and remains a smaller commitment than a six-month partnership.

Scope & participation

What kinds of workflows can we build?

Common examples include grant research and drafting, donor follow-up, board reports, meeting accountability, program reporting, policies, newsletters, website content, staff onboarding, internal knowledge systems, and other repetitive work. We select the right workflows from your actual priorities.

How many leaders are included?

The 90-Day plan includes the Executive Director plus up to three department leaders. The 6-Month plan includes the Executive Director plus up to five department leaders. Additional participating leaders are $750 each.

How much time will our team need to commit?

The exact schedule depends on the plan and workflows selected. Your team will bring real examples, test the workflows, use them between sessions, and share honest feedback so we can improve what is not working.

Do we own the prompts, instructions, and workflows?

Yes. Your organization receives the custom prompts and written workflow instructions created for its use so staff can keep applying them after the engagement.

Can we upgrade later?

Yes, when scheduling and scope allow. You can start with immediate relief, then expand into leadership adoption or broader transformation after the first workflows prove useful.

What happens if staff do not use what they learned?

Training alone does not guarantee adoption. The 90-Day and 6-Month plans include accountability, follow-up, troubleshooting, and workflow improvement so we can find and correct the barrier.

Results & guarantees

Does the guarantee apply to every nonprofit?

No. The time and value guarantees apply to nonprofits with at least $800,000 in annual revenue. Organizations below that threshold may still participate, but the results guarantee may not apply.

Why is there an $800,000 annual revenue requirement?

Because I am guaranteeing an operational outcome. Established organizations typically have enough staff hours, recurring work, reporting, donor and grant activity, meetings, and processes to identify meaningful, measurable capacity savings. The threshold protects the integrity of the guarantee.

How do you measure hours returned?

We identify the current process, estimate or observe how long it takes, document the improved workflow, and project the difference across the frequency of the task. We agree on the baseline and success measure before work begins.

Is the annual value guarantee the same as cash savings?

Not necessarily. Annual value may include staff capacity, operating value, avoided costs, reduced contractor dependence, or other agreed benefits. The page uses staff-capacity language so the claim remains transparent and defensible.

Why show $40 per hour in the capacity math?

It is a deliberately conservative assumption used to make returned time understandable. It is not an inflated retail-value claim. Your actual fully loaded staff cost or opportunity value may be higher or lower.

What happens if the target is not reached?

For GOOD and BETTER, if we do not reach the stated target, I do not get paid. For BEST, I continue working with your organization at no additional cost until we reach the target. Exact terms are agreed before work begins.

How quickly should we expect results?

The 1-Week Upgrade creates immediate relief for one leader. The 90-Day plan adds time for leadership adoption and improvement. The 6-Month plan addresses broader systems that require implementation, testing, and behavior change.

Delivery & travel

Is the training in person or virtual?

For Colorado nonprofits, in-person delivery is recommended whenever practical. Virtual delivery is also available. Organizations outside Colorado can participate virtually or request in-person delivery with approved travel costs.

Are there travel costs for Colorado organizations?

Within a practical driving distance, there is normally no added travel cost. Farther away in Colorado, I may ask the organization to cover a reasonably priced hotel stay if overnight travel is necessary.

What if our organization is outside Colorado?

Virtual delivery is available. If you prefer in-person delivery, the organization would cover reasonable airfare and lodging when necessary.

Will travel costs be a surprise?

No. Travel expectations and estimated costs are discussed and agreed upon before the engagement begins.

Software, cost & responsible use

Do we need to purchase new AI software?

No. ETS AI Consulting does not sell software. We begin with the tools your organization already has and build around them whenever practical.

Are paid AI subscriptions required?

No. You can participate using free tools. Paid versions can offer higher limits, stronger models, file analysis, custom assistants, integrations, or improved controls, so I may recommend one when it would materially improve the work. The decision remains yours.

Are software subscriptions included in the plan price?

No. The investment covers consulting, training, implementation, workflow development, documentation, and plan support. Third-party subscriptions are separate and optional unless your organization chooses them.

Are you going to recommend a long list of new tools?

No. My job is not to increase your technology budget. Sometimes a better tool is useful. Sometimes you already own what you need. Sometimes the best solution is not AI at all. The recommendation follows the problem, not the product.

What if we have a small technology budget?

That is normal for nonprofits. We start with systems and subscriptions you already have and prioritize the highest-value improvements. Any added expense should have a clear problem, cost, expected capacity gain, and lower-cost alternative.

Will there be unexpected costs after we sign?

There should not be. Possible added costs are limited to items you approve separately: an optional software subscription, leaders beyond the included number, or reasonable travel expenses when significant travel is required.

Can we use AI with confidential client, donor, employee, or legal information?

Not automatically. We first consider sensitivity, your policies, the tool's privacy and administrative controls, and whether de-identification or a different workflow is required. Staff learn to protect sensitive information and keep human review in place.

What happens when AI tools change?

They will. That is why I focus on principles and workflows instead of memorizing one product. The 90-Day and 6-Month plans also include relevant updates during the support period.
